Meeting transcripts with Tactiq
How to bring the summary and transcript of meetings recorded in Tactiq into the XBASE Calendar, who can see them and what you need.
Updated on
If your team records meetings with Tactiq, XBASE brings the summary and transcript of each meeting into the Calendar, next to the contact and the deal. It only works with a paid Tactiq plan: on the free plan, XBASE finds the recordings, but Tactiq does not release the summary or the transcript. This way, what was discussed stays in the customer's history, and whoever handles the customer next doesn't have to ask again.
The transcript always lives inside an XBASE meeting. If you open a Calendar meeting (booked by XBASE or one that only exists in your Google Calendar) after it ends, XBASE finds the right recording by time (the names of the participants help confirm it). Recorded a meeting that is not on any calendar? Use Import from Tactiq: XBASE creates the completed meeting, linked to the contact you choose.
To do it the first time, follow the step-by-step guide.
What you need
- A Tactiq account with a paid plan that releases the transcript to other apps. On the authorization screen, Tactiq points to the Business plan; on the free plan, XBASE can only search the recordings.
- An XBASE Calendar meeting (booked by XBASE or one that only exists in your Google Calendar), or use Import from Tactiq for a recording that is not on any calendar.
- The meeting must have been recorded with Tactiq.
Personal connection
Each person connects their own Tactiq account, only once, and the connection works in all their workspaces. You can connect from the Transcript section of a meeting (Connect Tactiq) or, if you manage integrations, in Integrations → Other → Tactiq.
XBASE never uses one person's Tactiq account for someone else: each person only searches and links the recordings they made.
How the transcript gets to the meeting
After the meeting ends, whoever opens the meeting and has Tactiq connected sees, in the Transcript section, a search of the recordings made around that time. XBASE compares the time and the names of the participants and shows "We found the recording in your Tactiq".
Nothing is linked automatically: the person confirms with Use this transcript or picks another one with Choose another recording. On confirmation, the summary and the transcript are copied into XBASE.
If Tactiq is still preparing the summary, the meeting shows a notice and XBASE fetches the summary again the next time someone opens the meeting.
Import a recording
Recorded a meeting that is not on any calendar? Use Import from Tactiq:
- in the Calendar, the Tactiq recordings button (you choose the contact, or leave it empty);
- in the contact's Meetings tab, or in the conversation's meetings in Chatcenter and in the Funnel, the Import from Tactiq button (the contact is already selected).
The list shows your recordings from the last 30 days, with search, and marks the ones already linked. In Import, check the Meeting title and click Import: XBASE creates a meeting already marked Completed, at the time of the recording, on your calendar (no Google event and no invite), with the summary and the transcript.
Who sees it and who removes it
- Linking is sharing: once linked, the transcript is visible to everyone who can see that meeting. People who only see the conversations they are responsible for still only see those.
- Meeting cards (contact's Meetings tab, Chatcenter and Funnel) show the Transcript badge.
- Remove transcript deletes the XBASE copy; nothing changes in Tactiq. Who can remove it: whoever linked it, the person responsible for the meeting and whoever manages integrations.
- Disconnecting Tactiq or leaving the workspace does not delete transcripts that are already linked.
Rules and limits
- One transcript per meeting, and each Tactiq recording goes to only one meeting in the workspace.
- Tactiq allows reading the full transcript of up to 10 meetings per hour per person.
- Transcripts with more than 2 million characters are not imported.
- The AI agent does not read transcripts yet. Through MCP access, the
get-meeting-transcripttool reads the summary and the transcript with your token.
