How to create an automation from a template
Step by step to create, in XBASE, a scheduled routine with an AI agent from a template, then test it, turn it on and check its history.
Updated on
Create an automation that, on weekdays at 9 a.m., asks an AI agent to do a task you write. You start from the Scheduled routine with an agent template, test it, turn it on and check every run in the history.
What you need
- A computer: the test and publish buttons are in the desktop version of the editor.
- Access to Automations in the menu. In the role, the permissions are View workflows and Manage workflows. If you don't have them, ask whoever manages the workspace.
- An AI agent created in the workspace, which will carry out the task.
- If your automation is different from this template, or if you don't know the editor, count on the XBASE specialist team: they build the automations with you.
Step by step
Open the templates
In the menu, click Automations and open the Templates tab. The Start from a template gallery appears.
Use the scheduled routine template
On the Scheduled routine with an agent card, click Use template. XBASE creates the automation as a Draft, shows Draft created and opens the editor, with three linked steps: Start, the agent and End.
Set up the agent
Click the agent step, in the middle. In the options that open on the right, choose the AI agent and write the task instructions. The editor saves automatically: Saved at and the time appear at the top.
Check the schedule (optional)
The template comes set to weekdays at 9 a.m., Brasília time. To change it, click the Start step, adjust the time under Schedules and click Confirm schedule. Note: confirming the schedule already turns the automation on. Test it first (next step).
Test
Click Test, at the top. A chat opens next to the editor: send a message to run the automation right away and see the response. The test really runs the steps.
Turn the automation on
Click Publish. You'll see Flow published successfully! and the status next to the name changes from Draft to Active. From then on, the automation runs on its own at the scheduled time.
To turn it off later, open the More options menu (⋯) and click Deactivate workflow.
See the history
At the top of the editor, click Runs. Each time the automation runs, a row is added with the status (Completed, Failed and others). Click a run to see the details. To run it once now, without waiting for the scheduled time, click Start.
What to expect
The automation appears in the Flows tab of the Automations screen with the Active status. On weekdays at 9 a.m. (or at the time you confirmed), the agent carries out the task, and every run is recorded in Runs.
